Record the model, affected behaviour and changes before passing the issue from retail to installation or manufacturer support.
Ask what the user expected, what happened instead and whether manual control still works. Collect the exact product and controller identifiers, not only the app brand. Note recent changes such as a router replacement or an approved firmware update without assuming they caused the problem.
Keep account credentials and unrelated customer data out of the shared report. Include only the logs or images that the responsible party actually needs. Explain which tests have already been completed so the customer is not asked to repeat the same conversation at every handoff.
Define who contacts the customer next and how the issue is closed in the equipment record. An escalation process should create ownership of the next step, not simply move the customer to another inbox. This is a useful cooperation capability for a dealer even without building a new service platform.
Before you order
